Welcome to SchoolsGH, a School Management System (SaaS) platform. These Terms of Service govern your use of our platform, including all features, services, and functionalities provided to schools, staff, students, and parents.

2. Service Description

SchoolsGH provides:

• Student and parent management
• Academic record keeping (attendance, assessments, grades, report cards)
• Fee management and payment processing
• Communication tools (notifications, messaging, announcements)
• Administrative tools for schools

3. User Accounts & Responsibilities

Schools:

• Maintain subscription and payment obligations
• Ensure accurate data entry and record keeping
• Manage user accounts and access permissions appropriately
• Comply with applicable laws and regulations

Users (Staff, Parents, Students):

• Maintain account security and confidentiality
• Use the platform only for authorized purposes
• Provide accurate information
• Respect privacy of other users

4. Subscription & Payment

• Subscription fees are billed according to your plan (monthly, termly, or annually)
• Payment is due according to invoice terms
• Failure to pay may result in service suspension or termination
• Refunds are subject to our refund policy
• Price changes will be communicated with advance notice

5. Data Ownership & Usage

School Data: Schools retain ownership of their data. SchoolsGH provides the platform for data storage and management.

Platform Data: We may use aggregated, anonymized data for analytics and platform improvement.

6. Service Availability

We strive for high availability but cannot guarantee:

• 100% uptime (scheduled maintenance may occur)
• Uninterrupted access (technical issues may occur)
• Data loss protection beyond our backup procedures

We will notify schools of planned maintenance and work to minimize disruptions.

7. Prohibited Activities

Users may not:

• Attempt unauthorized access to the platform or other schools' data
• Upload malicious code, viruses, or harmful content
• Use the platform for illegal activities
• Share account credentials with unauthorized parties
• Interfere with platform operations or security

8. Limitation of Liability

To the maximum extent permitted by law:

• SchoolsGH is not liable for indirect, consequential, or special damages
• Our liability is limited to the amount paid for services in the preceding 12 months
• We are not responsible for decisions made based on platform data
• Schools are responsible for backing up critical data

9. Termination

Services may be terminated:

• By schools with written notice (subject to contract terms)
• By SchoolsGH for violation of these Terms or non-payment
• Upon account closure, data will be retained according to our data retention policy
• Data export may be available upon request

10. Modifications to Terms

We may update these Terms. Significant changes will be communicated to schools via email. Continued use after changes constitutes acceptance.
